SUMMARY OF DUTIES


The Embassy is seeking to fill several positions at the Program Support/Assistant levels for the Immigration program following this selection process.

Please note that candidates who apply for this selection process will be considered for positions at two different levels (Program Support and Program Assistant) if they meet the essential qualifications. 

Under general supervision of the Migration Program Manager or an Officer, these positions support the delivery of Immigration, Refugees and Citizenship Canada’s (IRCC’s) Programs through furthering the processing of applications using procedural expertise, assisting Migration Officers in reporting and liaison, contributing to program integrity and providing other support to clients.

Core responsibilities for each level include but are not limited to: 

Program Support, (LE-A1):

    •  
      • Receive and return passports from/to Visa Application Centres (VAC)
      • Enter, maintain and update data and information into computerized systems.
      • Review files for completeness
      • Print and release visas on a daily basis
      • Collect and screen mail received for the Immigration Section
      • Provide routine information and assistance to internal and external clients to facilitate their compliance with visa application requirements.
      • Research internal and external sources to support information gathering for the processing of files and to support program integrity.

 

Program Assistant (LE-A2):

  •  
    •  
      • Monitor and reply to email enquiries; provide information to officers, clients, stakeholders (both internal and external) on topics such as application requirements, guidelines, local environment, and use of electronic support systems.
      • Develop and implement service delivery methods, tools, form letters, and tracking tools to facilitate or improve existing processes.
      • Assist officers in reporting and liaison, program integrity, Visa Application Centre (VAC) governance, promotion and recruitment activities or other support to clients.
      • Ensure urgent files and visa referrals are identified for officers and prioritized.
      • Review files for completeness, seeking out missing or relevant information.
      • Assess cases and research internal and external sources to resolve problems or discrepancies to support program integrity.
      • Prepare document requests and other letters, as required.
      • Schedule interviews and in-person application/biometric submission.
      • Communicate efficiently with program partners, other Missions, and teams at headquarters.

This selection process is open to all applicants 18 and over, who are residing and legally authorized to work in Jordan, including Embassy employees, who meet all the essential qualifications and whose applications are received by the closing date.

Education


This position requires: 

  • Post-secondary degree requiring a minimum of 2 years full-time study. 

Note: Candidates will be required to provide proof of their education

 

Language

 

The Following languages and proficiency levels are required for this job. Candidates will be formally assessed or requested to provide proof of certification on these levels. 

  • An advanced proficiency level (reading, writing, comprehension, and speaking) in English or French.

 

Experience

In order to perform the duties relevant to this job, the following experience is required.

  • Professional experience providing client service or supporting business operations

ASSET QUALIFICATIONS

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications. 

Language: 

  •  
    •  
      • Advanced or Intermediate proficiency level in both of Canada’s official languages (English and French), both written and oral
      • Advanced or Intermediate proficiency in Arabic, both written and oral

 

Experience: 

  •  
    •  
      • At least 1 year of professional experience working in an international environment such as an Embassy, International Organization or Multi-National Company
      • At least 1 year of professional experience working in an immigration-related field
      • At least 1 year of professional experience working at a computer for an extended period of time and maintaining focus while reviewing documentation (applications, requests, legal documents, etc.) and conducting data entry

 

OPERATIONAL REQUIREMENTS

 

Operational requirements will be assessed on a ``meet/does not meet`` basis and can be used to determine right fit of a candidate for the position.

  • Hours of Work: Normal hours of work of work for this position are in accordance with Locally-Engaged Staff regulations of 37.5 hours per week.
  • Overtime: Willingness to work overtime on short notice.
  • Location of work: Work is normally performed on-site at our Embassy

 

CONDITIONS OF EMPLOYMENT

Conditions of employment must be met or complied with before being appointed to a particular position. They are to be maintained throughout the employment period.

  • Valid work authorization: Ability to obtain and hold a valid work authorization covering the entire employment period.
  • Security screening: Obtain and maintain a Reliability Status (security level) which includes a criminal and credit background check from the Government of Canada.
