Employee’s Relation Supervisor

Responsible for ensuring that the company adheres to legal standards and in-house policies according to the country of operations labor law. Handles the employee relations/personnel from joining to separation.

Job Responsibilities:

Employee Pre-Joining:

  • Ensure that employees’ hiring documents are obtained and filed
  • Ensure employee’s on-time issuance of iqama, tickets, VISA and any other pre-onboarding requirements
  • Ensure the availability of employee job description card
  • Manage the on-boarding execution

Employee Post-Joining:

  • Maintain probation expiry of new employees and coordinate with recruitment team in case termination or resignation of employee.
  • Ensure answering, supporting and consulting employees on time and as per the agreed SLA’s
  • Handle the employees leave management process in full (planning, monitoring and follow up)
  • Maintain employees’ documents and personnel files
  • Ensure matching and updating the employees’ salaries in the Saudi and Jordanian systems.
  • Document the employee’s contracts on related governmental platform.
  • Ensure monitoring and controlling the Saudization percentage across the organization: overall company percentage as well as job specialty according to the Saudi labor law.
  • Handle the official communication with employees (internal circular announcements)
  • Manage and control the employment contract renewal, iqama renewal, medical & insurance card renewal, and other necessary documents renewal to prepare and get an approval in advance to avoid abnormal cost incurrence and ensures smooth operations of all activities within deadlines.
  • Design and develop the Employee Relations function service level agreements across the organization to enhance the employee’s satisfaction level
  • Manage the employees’ vacations tickets & Invoices:
  • Supervise the Administrative Officer in handling employees’ vacations ticketing process, agencies invoices management and monthly reporting
  • Review & evaluate list of major travel agencies and oversee the development of service level agreements
  • Review and endorse travel policies to guide travel and ticketing affairs
  • Deals with labor & social insurance officials regarding any legal issues or requirements in a timely manner.
  • Keeps the company side clear from any labor related legal obligations or accountabilities.
  • Employee Separation:
  • Handle and process resignation, termination cases, end of employment contract and ensures that final settlement and handover process is complying with Saudi Arabia Labor Laws.
  • Handle and manage the exit interview process
  • Review and re-design retirement, health, and welfare policies, adjust as needed.

Qualifications, Experience, & Skills:

QUALIFICATIONS:

  • University degree in HR Management, Business Administration, or any other related field
  • PHRi is preferable

EXPERIENCE:

  • Total of 8 – 10 years working experience and out of which at least 5 years of experience in HR supervisorial position
  • Experience in steel fabrication industry, manufacturing or any related fields is a plus

KNOWLEDGE OF:

  • Drafting HR policies, procedures, and common bylaws
  • Drafting job description cards
  • Saudi/Jordan labor law and employment laws (development and challenges)
  • Government compliance
  • ERP exposure (SAP) is preferred

SKILLED IN:

  • Analytical Thinking & Problem SolvingData gathering and processing
  • Presenting: Information conveying and presentation, Emotional intelligence & consultation, Conflict management
  • Attention to DetailsGovernmental online platforms management, Renewal index management
  • Stakeholders Relationship ManagementOn-time response & employees’ support, employees satisfaction, Internal communication management
  • Planning & organizingHR compliance planning & management, Employee's personnel files & documents management, Ticketing & vacations planning & management, Retirement management, Clearance & Separation management, Calendar management
  • Managing teams: good exposure for team management and efficient resources utilization.
  • Cross cultural experience
  • Microsoft Office (Excel, PPT)
